Kents Hill School is one of the oldest co-ed boarding schools in the country, located on 400 beautiful acres in Maine. Position Overview

The Advancement Office Administrator, reporting directly to the Director of Advancement, plays an important role supporting the administrative, event management, content creation, and relationship development needs of Kents Hill’s Advancement Office. In addition to successfully completing tasks assigned by their supervisor, the position also supports the Advancement Office’s efforts to build a comprehensive alumni and parent relations program. This is an exciting time to join the Kents Hill community and this position will be an important member of the Advancement Team as we prepare to celebrate Kents Hill’s 200-year history with a Bicentennial Campaign.
 

Key Responsibilities

  • Develops content for online and print materials including appeals, thank you letters, newsletters and other advancement-related communications materials. Coordinates with the Admissions and Communications & Marketing teams, as needed.

  • Supports the design, administration, and management of events, programs, and activities to better engage Kents Hills constituent groups in the life of the school.  

  • Helps establish connections with current students – our future alumni – that introduce them to Kents Hill’s culture of engagement and philanthropy. 

  • Processes and helps track gifts and pledges; produces timely gift acknowledgement letters, stewardship letters, and pledge reminders.

  • Effectively uses RaisersEdge to support relationship development activities with constituent groups to help identify, cultivate, recruit, and steward prospective volunteers and donors.  

  • Supports efforts to grow the Kents Hill Fund by helping to annually increase revenue and participation rates across key constituent groups, including alumni, trustees, parents, faculty/staff, and friends.

  • Develops, prepares, and analyzes regular reports on donors and prospects for the Advancement Office staff, Head of School, and Board of Trustees as needed.

  • Provides administrative support to the Advancement Office, as needed.

  • Supports the prospect research needs for the Advancement Office.

  • Other duties as assigned by the Director of Advancement. 

The ideal candidate will have: 
 
  • Knowledge of current trends and issues around the philanthropic community, stakeholder engagement, and secondary education. 

  • A strong focus on customer service and satisfaction.  

  • Excellent interpersonal, presentation, problem-solving, and communication skills – both written and oral. 

  • Thrives in a goal-oriented, deadline driven environment with a proven ability to adapt and manage multiple and changing priorities. 

  • Proven attention to detail and commitment to data accuracy. 

  • Self-starter, deadline driven, and able to adapt and manage multiple and changing priorities.

  • The ability to maintain confidentiality.  

Position Requirements 

  • A four-year college degree required.

  • The availability to travel and work evening and weekend hours.  

  • Valid driver’s license and successful driver's license background check required.

  • Ability to travel as needed, typically domestic.
